Vehicle concerns are the issues associated with a repair order — both problems reported by the customer during intake and observations noted by technicians during work. They bridge the gap between the initial intake conversation and the inspection workflow, giving your team a clear list of what needs attention on the vehicle.
Concerns appear in the job detail view and can be linked to appointments, filtered by status or source, and shared with customers through the portal.
The Concerns section on the job detail view displays all concerns grouped by source:
Within each group, concerns are shown as a numbered list in a compact one-line layout. Each line shows the concern description, its current status, and any linked appointment.
Use the single add form at the top of the Concerns section to quickly log a new issue. The form includes:
Submit the form and the concern is immediately added to the appropriate group in the list.
Need to enter several concerns at once? Open the Bulk Add modal to add multiple concerns in one step. Enter one concern per line using bullet points or plain text — each line becomes a separate concern entry.
This is especially useful during intake when a customer lists several issues at once, or when a technician completes a walkaround and has multiple observations to log.
Click on any concern to edit it inline. You can update the following fields:
Use the Status dropdown to move the concern through its lifecycle:
To remove a concern, click the delete action on the concern row. A confirmation dialog will appear to prevent accidental deletions. Once confirmed, the concern is permanently removed from the job.
Concerns can be linked to appointments on the same job. When a concern is associated with an appointment, it displays the appointment name chip next to the concern text for quick reference.
You can add concerns directly from:
This integration ensures that when a customer books an appointment for specific issues, those concerns are tracked and visible from both the scheduling and repair perspectives.
Use the filter dropdowns above the concerns list to narrow what's displayed:
Filters help you focus on what still needs attention or review the full history of issues on a vehicle.
Customers can view their vehicle's concerns through the customer portal. The portal provides a read-only view showing the concern descriptions, their current statuses, and any resolution notes — keeping customers informed without giving them the ability to modify records.
