The Digital Vehicle Inspection (DVI) feature provides a structured multi-point inspection workflow for your shop. Define reusable inspection templates, perform thorough vehicle assessments, and share professional results with customers for transparent communication and service approval.
The DVI system covers the full lifecycle: template creation, inspection execution, result recording with media, and a customer-facing presentation where they can approve or decline recommended services.
Manage your inspection templates from the Settings page. Templates define the list of inspection items your technicians will evaluate on each vehicle.
For each template you can:
Create templates for different inspection types — a full multi-point inspection, a quick safety check, or a pre-purchase evaluation.
Begin an inspection from the Inspections panel on the job detail view. Click New Inspection and select which template to use. The system creates an inspection instance pre-populated with all the items from your chosen template.
The inspection form displays each item in order, ready for the technician to begin recording their findings.
For each inspection item, the technician records their findings:
Progress is saved as you go, so technicians can pause and resume inspections between other tasks.
Once all items have been evaluated, mark the inspection as Complete. The summary view shows all results at a glance — color-coded by condition rating — along with the total count of items in each category.
Completed inspections are locked from further edits to preserve an accurate record of what was found at the time of inspection.
Share inspection results with the customer by generating a customer presentation link. Send this link via text, email, or through the communication tools built into Repair Bay Evolution.

From the presentation link, the customer can review each recommended service and make decisions:
As the customer selects items, a running selected total updates so they can see the cost of their approved work. When they're ready, they submit their decisions and your team is notified of the approved scope.
This workflow eliminates phone-tag and gives customers time to review findings at their own pace, leading to higher approval rates and clearer communication.
